Shop Manual (Quick Guide)

1. Getting started
- Sign up at moonupsystem.com → confirm via the email link → you'll get a welcome email with your shop code and links to every page
- The owner signs in to the back office at cp.moonupsystem.com on the Owner tab (email + password)
- Managers use the Manager tab: shop code + username + the password the owner set for them
Everything in the back office can also be done from the cashier device (the Manage shop button) — a shop with a single POS device doesn't need a computer
2. Install the app on your devices
- Use a POS device with a built-in printer (prints receipts on the device) — download from the Download App page
- Staff phones: on Android, install the same app · on iPhone, open pos.moonupsystem.com and tap "Add to Home Screen"
- Sign in the first time with shop code + username + password; after that, tap your name and enter your PIN
3. Shop setup (one time)
3.1 Menu / prices
- Create categories (food, drinks, beer, etc.), then add products — one product can have several prices (e.g. glass/bottle/tower)
- Options (spicy/not spicy, add egg) can have a minimum/maximum · Discounts can be set to require manager approval
- Commission (for the staff who keys the order) / drink commission (for PRs) is set per product price
3.2 Shop settings / tables
- Shop / Receipt: shop name, address, tax ID, VAT, service charge, business-day cutoff time (nightlife venues usually set 06:00)
- Zones and tables, then Floor plan: drag tables to their real positions (used on the cashier screen and for customer table booking)
- Printers: receipts = the POS device's built-in printer · kitchen/bar tickets = LAN printers, enter the IP (the main POS device sends the print jobs) · Kitchen / bar display if you use a screen instead of paper
- Linked devices: view/remove devices signed in to your shop
3.3 Staff
- Add staff: role (owner, manager, cashier, server, DJ, PR), username, password and a PIN for switching users on a device
- Fine-grained permissions can be adjusted per person (e.g. whether a cashier can void items)
4. Payments
- Payment methods: cash, transfer, QR, card, etc. can be turned on/off
- QR payments (owner/manager): enter the shop's PromptPay → the system creates a QR with the exact amount for every bill, and money goes straight to the shop's account
- Slip checking: choose Automatic check and the system verifies the amount and receiving account for you, no extra sign-up needed (slips that fail wait for staff review under Slips / Warps), or choose Staff check manually
- Slips the system can't decide on pop up on the cashier screen and in the Slips / Warps menu for you to approve/reject
5. Daily sales
- Open shift on the cashier device and enter the starting change float
- Tap a free table → enter the number of guests → add products to the cart → Send to kitchen/bar (staff can order from their phones too; it goes to the kitchen the same way)
- Request bill = print a bill for the customer (with a PromptPay QR for the exact amount) — if more is ordered afterwards, the system warns you to print a new one
- Take payment: choose the method, split across several methods if needed → print the receipt (abbreviated tax invoice available if enabled)
- Move/split/merge tables, split bills, discounts and voids are done from the bill panel on the right (the system records who did it)
- At closing: Close shift, count the cash, and the system compares it to the expected amount
6. When the shop's internet drops
- The POS device keeps selling (open tables, order, print, take cash) — the top bar shows offline
- When the internet is back, the device syncs automatically · Conflicts (e.g. the same table edited from two places) are listed in the Sync conflicts menu
- While offline, staff phones, slip checking and coin payments are unavailable
7. Entertainment (if enabled for your shop)
- Shop links / Screens menu: customer page QR (for tables) · warp TV screen · song queue screen · musicians' queue page
- Customers send warps / request songs / tip / book tables from their phones · the shop reviews warp photos before they go on screen under Slips / Warps
- Song request, booking and concert money goes straight to the shop's account · warp money goes to the platform account, and the shop's share is transferred every week
8. Reports and billing
- Shop overview and Reports: daily sales, best sellers, commission/drink commission, stock · Activity log: who did what and when
- Billing (web back office): POS rental and the weekly offset statement, payable by QR right on that page
- What's new: see the latest system updates (the app has an Update button)
